Office administrator
Appearance & hours of work
The Office Administrator is expected to present a professional image at all times, wearing either a business suit or the company-provided uniform.
This is a full-time position based on a 37.5-hour working week, with 23 days’ annual leave (plus statutory bank holidays).
Key responsibilities
The duties of the Office Administrator will include, but are not limited to:
Office & client support for funerals and memorial masonry
- Managing incoming and outgoing telephone calls and welcoming personal callers to the office with professionalism and empathy, including fulfilling receptionist duties from time to time.
- Assisting next of kin and executors with enquiries, guidance and administrative support.
- Production of paperwork including permits for memorial stones.
- Taking payments from clients and administering receipts.
- Managing ashes, jewellery and other sensitive items with diligence and care.
- Preparing highly accurate letters, documents and correspondence as required.
Funeral coordination
- Arranging delivery of forms, paperwork, music and service sheets to crematoria, churches and other venues.
- Supporting the funeral director with the completion of funeral paperwork.
- Preparing our private venue, The Lounge, for catering functions.
Pre-paid funeral plans
- Advising clients on pre-payment funeral plans, providing information in a compassionate and compliant manner.
- Handling the administration, organisation and documentation of all pre-paid funeral plans.
Memorial masonry
- Managing orders for headstones, plaques and inscriptions. Ensuring accuracy with design, wording, materials.
- Ensures all memorials meet cemetery or churchyard rules, including size, material and inscription guidelines.
- Maintaining accurate records of orders, permits, designs and installation schedules.
- Handling invoicing, quotations and general office duties related to memorial masonry services.
General duties
- Promoting the company and its services in a professional and respectful manner.
- Assisting with additional duties around the premises and supporting funeral operations when required.
- Maintaining a safe and tidy working environment and upholding all workplace health and safety requirements.
Salary & development
Salary: £26,000 – £29,000 per annum, dependent on experience.
Annual pay reviews are conducted, with further increases available upon completion of additional training where applicable.
